Refund and Cancellation Policy

Photography is booked by the date. When Pranab's Viewfinder ("the Studio") accepts your booking it stops offering that date to anyone else and begins turning other work away, which is why the advance that secures it is not returnable.

This policy sets out what is payable and when, what happens if a booking is cancelled or moved, and how a refund reaches you when one is due. It applies to every engagement Pranab's Viewfinder undertakes unless your signed agreement says otherwise, in which case the agreement governs. The proprietor, the registered place of business and the contact details are published in the identity block at the foot of this page.

In short: the 20% booking advance is not refundable. If you cancel, no refund is due. If the Studio cancels, everything you have paid comes back to you. Moving your date costs nothing extra if the Studio is free on the new one. Where a refund is due it is initiated within 5 working days of the Studio approving it.

This policy covers photography and event services. The Studio sells no physical goods through this website, ships nothing and charges no shipping fee, so nothing here concerns shipping, delivery charges, returns, exchanges or damaged items. Where an album or a print is included in your package it is part of the commissioned service, and clause 7 governs it.

1. Booking advance

A booking advance of 20% of the total agreement amount is payable to confirm the booking. Your date is reserved once that payment is confirmed, and not before.

The booking advance is non-refundable. It counts towards the total price of your engagement, but it is not returned if the booking does not go ahead, except where the Studio cancels — see clause 5.

This is the consideration for the Studio holding your date and declining other enquiries for it. Please be satisfied with the quotation and the agreement before you pay it.

2. The balance, and payment before delivery

The remaining 80% of the agreement amount is payable no later than one day before the event date.

Full payment must be completed before the Studio hands over the photographs, videos or any other final assets. Delivery follows payment, not the other way round — the delivery periods in the Terms and Conditions (60 days for edited photographs, 90 days for video, unless your agreement states otherwise) run from full payment where that comes after the event.

Where a booking is made fewer than two days before the event, the full amount is payable on signing.

Invoices are visible in your client portal and each carries a secure payment link. You can pay in full or in part — the advance and the balance can be paid against the same invoice — by UPI, card, net-banking or wallet. Payment is processed by the Studio's payment gateway and is treated as received when the gateway confirms it.

Add-ons and extras agreed after signing are invoiced separately and are payable by the due date shown on that invoice.

3. If you cancel

If you cancel a confirmed booking, no refund is due. The booking advance remains non-refundable, and amounts paid beyond it are not returned.

Please cancel by email so that the date of notice is not in dispute. A cancellation takes effect when the Studio receives it, not when it was sent.

Before cancelling, consider clause 4 — moving the date is usually available, and costs nothing extra where the Studio is free.

4. If you want to move the date

If you ask to change the event date and the Studio is available on the new date, the booking is rescheduled with no additional cancellation charge, on the terms of your existing agreement. Everything you have paid carries over in full.

The Studio charges no rescheduling fee.

If the Studio is not available on the date you ask for, the request is treated as a cancellation by you, and clause 3 applies.

Ask as early as you can. The further ahead the request, the more likely the Studio can accommodate it. Where the new date falls in a later season and prices have changed, the difference is payable.

5. If the Studio cancels

If the Studio cancels the booking for a reason attributable to the Studio, 100% of all amounts you have paid is refunded, the booking advance included.

Where illness, accident or an emergency prevents a named photographer from attending, the Studio will first arrange a suitably experienced replacement at no additional cost to you. That is a substitution, not a cancellation, and the deliverables and the standard of work remain as contracted.

In either case the Studio's liability is limited to that refund, as set out in the Terms and Conditions.

6. Weather, natural disaster and other events beyond control

If the event cannot proceed because of severe weather, a natural disaster, or another circumstance genuinely beyond either party's control, the booking advance remains non-refundable — the date was held and the other work was turned away regardless.

Any amount you have paid beyond the booking advance is refunded, less the value of any work the Studio has already carried out for the engagement.

The Studio will always first offer to move the booking to an alternative date under clause 4, which is usually the better outcome for both parties.

This clause is not a right to retain everything you have paid. It retains the advance and returns the rest.

7. Completed services and delivered work

Payments for services already performed are not refundable. Once the Studio has photographed your event, that coverage has been delivered whether or not the final assets have been handed over yet.

Delivered photographs, videos and other completed assets are not refundable. The work is a commissioned service, made specifically for you and not resaleable, and it is complete at the point of delivery.

If the Studio covers part of an event but cannot complete it, or cannot deliver part of what was contracted, a fair proportion of the fee for the undelivered portion is refunded.

If you believe the delivered work falls short of what was contracted, tell the Studio within 14 days of delivery. The Studio will look at it and, where the complaint is justified, will re-edit or reshoot the affected work at its own cost. Dissatisfaction with the Studio's established editing style, which you can see throughout this portfolio, is not a ground for a refund.

8. How and when a refund is processed

Where a refund is due under this policy, the Studio processes it within 5 working days of approving the request.

That is the Studio's own processing time. How long the money then takes to reach you is decided by your bank, your card issuer or your UPI provider, and the Studio has no control over it — allow a further few working days. The 5 working days is a commitment to initiate the refund, not a promise that your bank will have credited it by then.

Refunds are made to the person who paid, against the original invoice, and are issued with a credit note. The Studio will confirm the destination account with you before processing.

Refunds are made in Indian Rupees (INR) only. Payment gateway fees charged on the original payment are not recoverable and are not refunded. Tax already remitted on a cancelled booking is adjusted through the credit note in the ordinary way.

9. How to cancel, reschedule or request a refund

Email the Studio at the address in the identity block at the foot of this page, quoting your booking or invoice number and the event date, and say what you are asking for.

The Studio will acknowledge your request within 3 working days and tell you what is payable or refundable under this policy before anything is processed.

If you are not satisfied with the outcome, raise it with the Grievance Officer named at the foot of this page. Disputes are otherwise handled as set out in the Terms and Conditions.
